Put the close gate in writing once. Then reminders cite the letter, not your mood.
When “can you send that ASAP?” is the only rule, every nudge feels personal. Solo bookkeepers win when the engagement letter defines what is due, when, what happens if it’s late, and that pull/access is the default over chase.
Client will provide documents and information listed in the monthly close checklist for each period by the stated Day 0 / Day 3 / Day 7 dates. Items we can obtain via approved bookkeeper access or bank feeds are marked N/A and do not require Client to upload statements.
At kickoff, Client will grant Firm bookkeeper/advisor access to the books system (e.g., QuickBooks Online or Xero) and will complete bank-feed connections on a shared call. Client remains responsible for MFA and bank credentials; Firm does not store Client passwords.
Firm’s close work for a period begins when every required checklist line for that period is marked Received or N/A. Incomplete items may delay delivery dates without constituting a breach by Firm. Rush completion after late documents may be billed at the firm’s then-current hourly rate.
Firm may send item-specific reminders on approximately Day 3, Day 7, and Day 10 for unchecked lines only. Reminders reference this agreement and the open checklist items; they are procedural, not personal criticism.
