Client receipt chase without a portal
A lightweight playbook for freelance and 1–3 person bookkeeping practices — collect what you need without forcing every client into another login.
Portals help some firms. For many solo practices they add friction: clients forget passwords, upload the wrong month, or ignore the invite. You can still run a tight receipt chase with email, a named Drive folder, and a line-item tracker.
Decide what “receipt” means for this client
- Material expenses only (threshold in the engagement) — not every $4 coffee
- Prefer bank/credit export + exceptions over a full photo dump
- Separate
Needs image (vendors that require proof) from OK from statement
- Write the rule once in kickoff so monthly asks stay short
Intake that prevents chase
- One shared folder named
YYYY-MM receipts — Client (or a standing Inbox they already use)
- Photo rules: full page, readable total/date/vendor, no cropped corners
- Preferred path: forward merchant email PDFs; photos only when no PDF exists
- If they have a card feed in QBO/Xero, chase exceptions — not the whole feed
Monthly ask pack (Day 0)
- Subject names the period: “Sep 2026 — 4 receipts still needed”
- List only Missing rows with vendor + amount + why (tax / capitalization / reimbursement)
- One reply path: “Reply with files or a firm date”
- Link the folder once; don’t invent a new portal for this month
Day 3 / 7 / 10 without guilt spirals
- Day 3 — soft nudge, same thread, Missing-only list
- Day 7 — blockers only; drop nice-to-haves under your threshold
- Day 10 — close-gate language once; park the rest as carried-forward
- Never re-send Received items; never open a parallel thread for the same period
When a portal actually helps
- High volume of image receipts every month from the same client
- Multiple uploaders (owner + office manager) who need structure
- You already bill for portal onboarding time
- Otherwise: email + Drive + tracker is enough — and ships faster
